A few tips & tricks to make your travel smoooooth

International Travel

Airport

The closest airport to our venue is Florence Airport (FLR), but it’s often more affordable (and convenient, especially when arriving from the US) to fly into the larger hubs of Milan (MXP) or Rome (FCO). From either city, Italy’s extensive rail system makes it easy to take a train to Florence, where you can grab a taxi to the venue.

Note: If you’re connecting through the UK (e.g., London Heathrow or Gatwick), you will need an Electronic Travel Authorization (ETA), even if you’re only transiting.

Passports

When traveling to Italy, your passport must be valid for at least three months beyond your planned departure date and issued within the last 10 years. To avoid any last-minute issues, double-check your passport's expiration date well in advance!

If you need to renew or apply for a new passport, processing times currently average about 6 to 8 weeks. To be on the safe side, aim to start your application no later than July 1st. Expedited services are available, but they can be costly!

Lost Luggage

Lost luggage can put a damper on your travels, but a little preparation can help! Placing an AirTag (or similar tracking device) in your checked baggage can make it easier to locate your suitcase in the unfortunate event that it goes missing.

For extra peace of mind, consider packing everything in a carry-on — it’s the best way to ensure your essentials stay with you every step of the way!

Rental Cars & Taxi Services

Rental Car

Renting a car is a fun and flexible way to explore Tuscany at your own pace. It also offers a convenient way to reach our venue in the Tuscan countryside, where ride-share services like Uber aren’t available.

A few tips for renting a car abroad:

  • Make sure to get an International Driving Permit (IDP), which is often required for driving in Italy. AAA offers them for $20.

  • Familiarize yourself with local driving laws and road signs.

  • Book your rental car well in advance, especially during peak travel seasons.

Taxi or Private Car

Taxis or private cars are an easy and stress-free way to travel from airports or train stations to the venue. Many airports and train stations offer fixed taxi rates, which are displayed on a laminated card inside the taxi — a good way to ensure you’re being charged fairly.

Rail Travel

Italy’s extensive and efficient rail system makes getting around the country easy and scenic. You can take a train from major hubs like Rome, Milan, or Venice to Florence (Santa Maria Novella Station), the closest city to our venue.

Tips for Train Travel in Italy:

  • Book in Advance: Purchase tickets early through Trenitalia or Italo to secure the best fares and seat reservations.

  • Types of Trains:

    • Frecciarossa – High-speed trains connecting major cities.

    • Regional Trains – Slower but more budget-friendly, with no seat reservations.

  • Luggage: Most trains have overhead racks and luggage areas at the ends of each carriage.
